Creating your profile

There are four parts to creating your profile. It’s recommended that you take some time to run through this as you’ll need to input all of the information about your company, such as company number, VAT number, your logo and your bank details (if you want to take BACS payments).

This is the information that will appear on your quotes and invoices. If you don’t have all this information to hand, don’t worry, you can go back to it later and fill in the blanks.

If you go to the ‘Customise’ section, you can see a preview of how your quotes and invoices will look based on the information you have entered.

Quotes

Everything you need to know from creating your first quote to viewing detailed reports from all the quotations you have created.

SimpleQuotes will automatically email the quote to your client as an attachment, with a professionally written email containing your custom signature.  Not only that, if the customer hasn’t responded to the quote within a given number of days, SimpleQuotes will automatically chase the client and send you a reminder, ensuring nothing is missed.

Invoices

In this section you can add any custom information you would like to appear on all of your quotes and invoices, and also how you would like the SimpleQuotes system to send reminders to your and your customers.  This is a key feature of SimpleQuotes which ensures both you and your customers are sent reminders automatically.

If you would like your BACS info to appear on your invoices you will need the following to hand:

  • Bank Name
  • Account Holder
  • Bank Account Number
  • Sort Code

Templates

Store templates (blocks of commonly used text) here to avoid typing out the same details every time on your quotes.

For example, If you are a carpet fitter, you might use the following text on most of your quotes:

  • Lift all existing floor coverings and prepare sub flooring by de-nailing, removing all carpet gripper, door bars and unwanted carpet/flooring accessories.
  • Supply and lay suitable quality branded underlay and new chosen carpet using new carpet gripper supplied and installed to the perimeter of the room and new chrome finished door bar.
  • Remove all generated waste from site upon completion of installation works.

You can create as many templates as you like for all your common jobs or tasks, each one with its own unique nickname.

Customers

This is a very straightforward section where you enter a customer onto your database prior to sending them a quote (if it’s a new customer).  Don’t worry if you forget this, when you start a quote there’s a link to take you straight back to this section if it’s a new customer.

Simply add their name, address, email and telephone number.

You can also add notes against each customer that only you will see, for  example if you have had a problem with this customer in the past, or if access is difficult to their property.
